We Do Microsoft Dynamics! Do You?
We Do Microsoft Dynamics! Do You?
In the business world, Microsoft Dynamics is a household
name. As such, we rarely stop to think about how or why Microsoft chose the
name Dynamics for its suite of ERP and CRM software solutions. I was pondering
that question as I set about writing this blog. Is it related to terms like
fluid dynamics and aerodynamics? Perhaps it is.
According to the dictionary, as an adjective, “dynamic”
means:
- (of a process or
system) characterized by constant change, activity, or progress, as in “a
dynamic economy.” - (of a person) positive in attitude and full of
energy and new ideas
As a noun, it means: a force that stimulates change or progress within a system or process
What’s in a
name?
When I think about the role that Microsoft Dynamics ERP and CRM have played in our clients’ businesses, all of the above are true. Microsoft Dynamics has absolutely been a force of positive change and progress for our clients. They rely on Dynamics software to run their businesses because it is not a static solution. It is constantly being updated to meet the changing demands of the economy and market imperatives.
Dynamics help our
clients scale as they grow. It helps them compete in increasingly competitive
markets. It helps them gain critical business insights that translate into informed
decisions.
That’s why
we do Dynamics. How about you?

Looking for an ERP Solution that Can Handle Your Mobile Workforce Requirements? Read on…
Is mobile workforce management (MWM) the same as field
service management (FSM)? Many people use the two terms interchangeably. Others
make a fine distinction between the two – mobile workforce management being the
scheduling and overall administration of people in the field while field
service management is focused on the scheduling of the installation, repair,
and maintenance of physical assets in the field.
You can’t
have one without the other
I respect that distinction and yet I see them as two sides
of the same coin because you really can’t
have one without the other. Scheduling the installation, repair, or maintenance
of physical assets in the field requires the scheduling of the field service
technicians who are going to conduct those services.
There’s another commonality between the two, which is the
fact that many ERP software solutions do not support either or both. Supporting
a mobile workforce and the assets they maintain requires specialized
functionality to optimize both.
In theory, you can take almost any ERP solution and bolt a
third party field service component onto it. But why would you want to do that
as opposed to purchasing an ERP software system that natively integrates MWM
and FSM?
Choose
Microsoft Dynamics 365 for Field Service
Microsoft
Dynamics 365 for Field Service is powered by the Microsoft cloud.
The top 3 business benefits are:
- Revolutionizing
the customer experience by keeping your customers informed during every
interaction of the service lifecycle to increase brand loyalty and advocacy. - Increasing
top line revenue growth by

service model that improves customer satisfaction and drives revenue. - Reducing
the cost to service using automation, analytics, and intelligence to
provide predictive maintenance and allow technicians to become more productive.
You’ll find that Microsoft Dynamics 365 for Field Service
will increase customer satisfaction with intelligent scheduling, native mobile
support, and remote asset monitoring to get the job done right the first time.
The solution also provides optimized vehicle routing, contract management,
inventory management, and a 360-degree view of customer and case history from
the field.
Just imagine how much happier your field service employees
will be with all of that at their fingertips.

Moving Your ERP to the Cloud: One Step Further in Your Digital Journey
The “information superhighway,” which
was sometimes referred to as the infobahn, was a popular term used through the
1990s to refer to digital communication systems and the Internet
telecommunications network. It is associated with United States Senator and
later Vice-President Al Gore. Today, we mostly call it the digital highway. And
it’s the road on which digital transformation takes place.
Let’s
start by agreeing that your digital journey is a marathon versus a sprint.
Let’s also agree on the distinction
between digitization and
digitalization. The former, digitization, is simply the process of changing
from analog to digital form and could refer to something as common as
moving from hard copy documents to soft copy, i.e. going paperless. It’s a step
in the right direction, and perhaps it was once considered to be
transformational. But today, it’s merely a given, as in “who hasn’t done that?”
The latter, digitalization, is a giant
step beyond that first one. It’s defined as the use of digital technologies to change a business model and provide new
revenue and value-producing opportunities; it is the process of moving to a digital business.
Moving
your ERP to the cloud constitutes a new business model, and is therefore
transformational.
For many companies, cloud ERP has been a difficult choice. Running ERP software on-premise felt safe. Knowing exactly where your ERP software resided (often in a server closet) felt secure. Moving to an amorphous place called the cloud felt like you were relinquishing control. Let’s be honest. It was a little scary and it involved a leap of faith since you can no longer see the servers on which “your” software runs.
And beyond that, in most cases, it’s
not actually “your” software anymore. You don’t own it. You “lease” it on a
monthly subscription basis, like a magazine. Again, to be honest, you are in
fact relinquishing some control since
updates and patches and even upgrades are performed automatically. You need to
come to terms with relinquishing those kinds of controls is a good thing. It’s
more efficient and more cost-effective. And perhaps most importantly, it’s
actually more secure.
The cloud is actually a world-class
data center with far deeper pockets than yours. World-class data centers deploy
world-class security, above and beyond what you could possibly afford to deploy
in your server closet or your own data center.
Transformative change requires a new mindset and a new business model. That’s what
makes it transformational and that’s also what makes it a giant step in your
digital journey on that digital highway that we spoke about at the beginning of
this article.
Ready? Or Not?
Bond Consulting Services (BCS) understands that despite the advantages of
cloud ERP, some of you are not ready to make that move. We implement and support both on-premise ERP software solutions like Microsoft

Looking for an ERP Solution that Can Handle Your Field Service Requirements? Read on…
You don’t have to be in a green grass
field, or an oil field, in order to be a field services technician. Nor do you
even have to wear a hard hat. Indeed, although the phrase may conjure up those
images, a field services technician could just as easily work for a managed IT
services company that sends its employees out to client office locations where
they work on the client’s computers or
data center. Plumbers and electricians are field services people, too.
So what do all of these different kinds
of field services companies have in common? They all have technicians who work
routinely takes them out of the home office. And these road warriors need to be
scheduled. They need to take spare parts with them when they travel and those
spare parts have to be decremented from inventory. They need to plan an
efficient route that will cover their calls for the day.
And they need a way to access their
clients’ account information from “the field.”
All of which requires an ERP software
solution that can handle the unique requirements of field service.
If that’s what you’re looking for, then
let me introduce you to Microsoft Dynamics ERP. Specifically, Microsoft
Dynamics 365 for Field Service, field service management (FSM) software
powered by the Microsoft Cloud. It’s got everything you need to get any job
done, and done right on the first visit: intelligent scheduling, native mobile
support, remote asset monitoring, and more. Improving your “first fix rate” is
just one way that FSM saves time and money.

Intelligent, optimized scheduling is another way to save time and money, so that your field service agents can go out on more calls per day, save money on gas, and reduce the wear and tear on your vehicles. Their route can be displayed on any device, be it a laptop, tablet, or phone. And they can make changes on the fly as necessary, too.
Has inventory
management been an issue for your field services business? Microsoft Dynamics
365 for Field Service has that covered as well. It allows you to manage
inventory updates and stock history across locations, including warehouses,
depots, and trucks.

If You Have Not Moved Your ERP to the Cloud, Then Your Digital Transformation Is Not Complete
There’s no one-size-fits-all roadmap
for digital transformation. Just try searching for the phrase “digital
transformation roadmap” and that search will return more than 4 million
results. Of course, they’re not all relevant and they’re not all current. What’s
more, some are geared for enterprise-level organizations and others are more
appropriate for small and medium businesses. What’s clear, however, is that you
do need a strategy, a plan to keep your company if not ahead of the curve, at
least not lagging behind.
So where are you on your digital journey?
Big or small, it would be nearly
impossible for you to exist if you didn’t have an ERP software system. ERP is
the nuts and bolts of your financials and operations. So, let’s start with
that. Where does your ERP solution reside? In your data center? In your server
closet? If you’re an enterprise-level organization your ERP may reside in your
data center. If you’re a small or mid-sized business (in the industry that’s
called SMB), your ERP software may still be sitting in a server closet in your
office.
Either way, if your ERP software is
still on-premise, it’s time to move to
the cloud.
According to a recent Forrester
report, which you can download from the home page of our Web site, “Organizations
worldwide are clearly making digital transformation a priority. Indeed, 86%
claim to have at least some form of a strategy in place. However, only 47% feel
they are “Transformers” — pursuing a full strategy that lays out how their
organization will use digital assets to create new sources of value for their customers,
to drive revenue growth in the future and create operational agility in service
of customers. Thirty-nine percent are still limiting themselves as “BoltOns” — bolting digital elements to their existing
business models.”
If that 10-page report is more than you have time to read, we get
it. That’s why from our home page we also offer you a 2-minute video, starring
Microsoft CEO Satya Nadella, about the role of Microsoft Dynamics 365 ERP in
digital transformation. In a nutshell, Dynamics 365 is back-office software
powered by the Microsoft Cloud. To accelerate your digital transformation, you
need a new type of business application. One that breaks down the silos between
CRM and ERP, that’s powered by data and intelligence
and helps capture new business opportunities. That’s Microsoft
Dynamics 365.
Whether you’re currently running an on-premises version of Microsoft Dynamics ERP or you’re running
QuickBooks but you’ve outgrown it, moving to Dynamics 365 for ERP and CRM is a
smart move. Because it’s not about taking one small step toward the digital
transformation of your company, you’ll actually be taking a giant leap toward
accelerating your entire digital strategy.
To gain a better understanding of the digital value proposition,
we recommend reading a very recent (January 2019) McKinsey & Company report
entitled “A
winning operating model for digital strategy.” The report makes the
logical case that digital transformation will not be achieved by bolting on
digital pieces of your business, but should rather be the creation of a digital
business operating model. Realistically, you may not be quite ready for that
holistic approach. But there’s nothing to stop you from:

How-To Process a 1099 in Business Central
With every new year, processing 1099 statements become a necessity for every accounting team.
To make the processing simpler, we have provided the following information on
how you can set up, process, and report
1099 information within Dynamics 365 Business Central.
1099 Setup
To set up a 1099
vendor: Open the

Within the Payments Fast tab,
select the IRS 1099 Code for the vendor and enter their Federal ID no.

Click the back arrow in the top
left of the vendor card to save the change.
Transaction Processing
When entering transactions for the vendor, the IRS Code will
automatically be added to the transaction under the Shipping and Payment Fast
Tab. The code may be overridden to a different 1099 code or removed for this
transaction.

Within the lines section, the IRS 1099 Liable field will be
automatically populated if an IRS 1099 Code is assigned to a document. If the
line item is not 1099 liable, you can unmark this field.

Once the transaction is posted, within the Vendor Ledger
Entries you will find that the IRS 1099 Code and amount will be automatically
populated. Once the transaction has been paid, the total will be accounted for in
the 1099 total.

1099 Reporting
To review the 1099 vendor amounts,
you can use the Vendor 1099 Information report. The report can be found in the
vendor lists window under Reports > General or within the vendor card under Report > Vendor 1099 Information. This
report includes all 1099 information for the vendors that been set up using the IRS 1099 Form-box tables.

If you do not want to run a report, another option is the
Vendor 1099 Statistics window. To access this window, open the vendor card and under
the Navigate menu select History >
1099 Statistics.

Within the Vendor 1099 Statistics window, you will have an overview of the 1099 amount totals for the
selected vendor.

1099 Corrections
Corrections to vendor 1099 amounts can be done within the Vendor
ledger entries window. In this window,
you can review the list of invoices and assign the IRS 1099 Code and amount, so
the total 1099 amounts are reflected appropriately.

Once you are finished correcting the transactions you can
run the “Vendor 1099 Information” report to verify the totals.
Printing 1099’s
The 1099 reports are separated by 1099 category. For
example, if printing the 1099 Miscellaneous report, you can open the vendors page and select Report > General
> Vendor 1099 Misc.

In the report options window, enter the calendar year for
which you are processing 1099 for and you
then have the option to run it for one vendor or for all 1099 Miscellaneous
vendors.

If you would like to run a test report, you can mark the
“Test Print” option.
(NOTE: The 1099 reports will only be generated for all vendors
above the minimum reportable amount for
the 1099 code assigned and the payments have been applied to the purchase
invoices within the same calendar year.)
To review the minimum amounts of each 1099 IRS Code:
Open the global search and search
for “1099 form boxes”. Select the highlighted option.

In the 1099 Form Boxes window, you will find the 1099 codes and their
minimum reportable amounts. Click on the “Edit List” option to modify any of
the amounts and these changes will be saved once you close out of the window.

Microsoft Dynamics: The Path from Where You Are Today to Where You Want to Be Tomorrow
Planning ahead is in our DNA. It’s how we attempt to bring order to the uncertainties of the future. Growth goals. And this is particularly true in a corporate setting where we have 3-year plans or 5-year plans that establish growth goals along with a variety of parameters – revenue, profit, employee count, number of customers, stores, offices, markets …
We try to answer questions like: How many employees will we need to hire to support our business as we grow from say a $10 million company to a $20 million company?
Don’t Forget ERP
As you plan and make projections for future growth, different constituencies within your organization will be involved. HR will be concerned about staffing up for growth. And rightly so. IT will focus on the capacity of your company’s infrastructure. And rightly so.
Hopefully, your finance and operations teams will have their say in your plans, too. Because one critical element in your plan should be the ability of your current ERP system to support the transition from where you are today to be where you want to be tomorrow.
What you want to look for is an ERP system that will not only grow with you but will be instrumental in that growth. At Bond Consulting Services (BCS) we’ve seen growing companies struggle due to an ERP system that is not in lockstep with their growth plans.
Microsoft Dynamics ERP – Designed for Growth
Take a hard look at your current ERP software system. Is it putting your growth plans at risk? Perhaps you have missed the warning signs:
- Too many manual processes
- Difficulty creating and configuring financial reports
- Multiple siloed systems that don’t talk to each other
- Security vulnerabilities
- Noncompliance
- Unproductive use of staff time
- Inability to generate critical performance data
Sound familiar? It’s time to switch to Microsoft Dynamics. And Bond Consulting will help you determine which Dynamics ERP solution will be the best fit your company, one that will be instrumental in your growth. Microsoft Dynamics GP. Microsoft Dynamics 365. Microsoft Dynamics Business Central.
All 3 of these solutions will help you grow beyond the limits of your basic accounting software.
