  • Dynamics GP began as an on-premise solution but can now be implemented in the cloud, too.
  • Dynamics 365 is a native cloud solution.
  • Dynamics GP is primarily a mid-market solution.

  • Dynamics GP, when implemented on-premise, requires an initial investment to purchase the software and the hardware (servers) to support it, meaning that you own it. You are also required to pay an annual “enhancement” fee.

Microsoft Dynamics GP | Unapply a historical AR payment or credit memo

Unapply a historical AR payment or credit memo

Once an accounts receivable transaction has been moved to history, you can no longer unapply a payment or credit memo through the Apply sales documents window. There is a tool in the Professional Service Tools Library, RM Transaction Unapply that will allow you to undo documents in the history table and automatically move the records back to the open table.

Follow the steps below:

Open Professional Services Tool Library (PSTL) and mark the option for RM Transaction Unapply as seen in the screenshot below:

Click Next to open the Receivables Transaction Unapply window.

Enter the Customer ID that you will be Unapplying the transaction for.

All the customer transactions will be listed. Find the transaction that you wish to undo and click the Applied checkbox to unmark it.

The following message will appear:

Report Only – will print a report, showing what will be unapplied if the process has run.
Unapply – this will unapply the transactions from the selected document.
(NOTE: We recommend you select Report Only first to review the transactions that will be unapplied)
Once you have confirmed the transaction click on the Undo button, then select a Print Destination for the report.
The Unapplied Documents Report will print showing what has been unapplied.

Click OK to close the window, once you are done.
Once the transaction has been unapplied you will find them as OPEN and no longer in HISTORY.

How-To Reconcile your Bank without using Yodlee

Microsoft Dynamics 365 Business Central has the option to do a bank reconciliation without using the built-in Bank Feed. The system will create bank statement lines entries based on the entries that have been posted in your bank ledger.

Please follow the steps below:

Search for “Bank Reconciliation” and select the highlighted option window


Click on new to start a new bank reconciliation

Select the bank account you will be reconciling and click ok.

Enter the Bank Statement information

Click on Process > Suggest Lines to have the system create the Bank Statement Lines based on the posted entries.

Enter the date range you are reconciling and mark to include checks. The Exclude reversed entries can be marked if you want to avoid any entries that were voided from being added for reconciling.

The system will then automatically create the entries and mark them as reconciled (bolded in green). From here you can delete the entries in the bank statement lines section if the record is not reconciled.

TLC for Your Microsoft Dynamics GP Software

TLC for Your Microsoft Dynamics GP Software

A little tender loving care, better known as TLC, goes a long way. Whether it’s rubbing cream onto our chapped hands or carefully pruning our favorite bonsai so it can keep its exotic shape. Another good example is your car which benefits from regularly scheduled maintenance that includes an oil change. So if people, plants, and vehicles benefit from regularly applied TLC, does that extend to our computer software, too?
The answer is a resounding yes! You don’t install a software application and just expect it to run forever. Applications often require patches and updates. At some point, sometimes sooner than later, they also need to be upgraded. And they all require support, be it proactive, reactive, or both.
Like all software solutions, Microsoft Dynamics GP works best with regularly scheduled TLC to keep it running at peak performance. And as stated above, a little TLC goes a long way. Keeping up with your daily and weekly processes contributes a smooth month-end close. And then those monthly processes, correctly executed, contribute to a smooth year-end close.

Proactive Maintenance

You should always have a plan in place for proactive maintenance of your Dynamics GP system in order to minimize issues, downtime, or data loss.  Here are just a few suggestions:

  • Monitor the Disk Space on the SQL Server - Make sure you have appropriate disk space for SQL data, SQL logs, and SQL backups.  The amount of space required depends upon how much data is being processed through Dynamics GP and whether the server supports other databases and functions as well.
  • Back Up SQL Databases - Have a maintenance plan to back up the DYNAMICS and all company databases in the desired interval.  This should be performed on a regular basis to ensure the Dynamics GP information may be restored for a disaster recovery type situation.  The backup should be verified and tested periodically to make sure the backups are working properly providing you insurance against data loss.
  • Monitor the Event Viewer on the SQL Server to see if there are any errors.
  • Monitor Memory Utilization - Make sure you have enough RAM on the SQL server based on your usage level.  Review the current server requirements based on the version of GP that you’re running.
  • Close Any Inactive Dynamics GP Sessions - On a periodic basis, close any inactive users still held by Dynamics GP for whatever reason.
  • Keep Dynamics GP Version Up-To-Date - Know which version and service pack of Dynamics GP you are running and what the latest version and service packs are.  Confirm that the version you’re using is still supported by Microsoft.  If not, consider an upgrade and plan a move to the most current version.

Inviting an External User and Granting Access to a File/Folder in SharePoint

SharePoint is one such platform which has the capabilities to store a vast array of documents and those documents can not only be stored for a company’s use, but also for external users as well.
We will indicate the various steps and processes that can be taken for an external user to be invited into the system, and once logged in to the system, the way in which they can be given permissions to certain documents which they may be given access to.

How to Invite a User:

To invite a user, within SharePoint you must first navigate to settings and select site settings.
Then, under “Users and Permissions”, select People and Groups. Within the Visitor’s tab, you will see an icon that says “New” and this is where you will click to add a new user to the group.
Lastly, you may enter the external user’s email address, include a message within the invitation, and then click “Share” to send out the invitation. This email invitation will prompt the external user to enter the site and complete the registration process, which involves them logging in to the site using their office 365 credentials and then accessing documents that are to be shared with them.
The user must register to the site using the same email as to which they received the invitation as well as the password that is associated with that email in order to log in.

How to Grant External User Access to a File/Folder:

The process to grant an external user access to a file or folder is similar to that of sending an invitation.
The company administrator may either decide to grant an external user access to a folder or a single file. This can be done by either clicking on the “Share” icon if it is a folder or the “More Actions” and then “Share” for a single document.
After clicking Share, another window will prompt the administrator to enter the external user’s email or name. There, the administrator may choose to allow the external user to either have edit privileges or only be able to view the document. Within the “Show Options”, the administrator who is granting access to the external user access may also decide to send an email invitation to the external user or not.
Once the window is populated and you are ready to grant access to a particular file or folder to an external user, you may then click “Share” one more time to complete the process.
The user will now have access to the file and have a way to login to the SharePoint system.

Here is where you will enter the email of the individual who you would like to invite to the SharePoint site.
Note: Simply inviting them to the site will only allow them to enter the site but will not be able to view anything until they are given the proper permissions to folders/documents.

The following is the window that will appear after clicking the Share icon within a Folder/Document.
Note: It is very similar to the invitation to the SharePoint site but it has a few different options.
You still need to enter the individual’s email address but you have the option to choose whether they can edit the folder/documents or simply be able to view them. You also have the ability to share everything within a folder regardless of any unique permissions and you may also send them an email invitation letting them know that they now have access to the site.
